Cash flow kills more rental businesses than competition does. If you are still collecting payment when the customer arrives at the desk, you are carrying all the risk and none of the certainty. Moving deposits online fixes that — but only if the structure is right.

Three payments, not one

  1. Booking deposit. Taken immediately to secure the vehicle. Typically 20–30% of the hire total, or a flat amount for short rentals.
  2. Balance. Charged automatically 24–72 hours before pickup to the same card, so nobody starts a rental owing you money.
  3. Security hold. A pre-authorisation on the customer’s card at handover — not a charge. It ring-fences funds for excess or damage and is released on safe return.

How much deposit is too much?

Enough to make a no-show painful, not so much that people abandon the booking. For everyday cars, a 20–30% deposit with the balance a day or two out converts well. For premium and exotic vehicles, higher deposits are expected and filter out time-wasters.

Make the terms impossible to miss

Show the deposit amount, the balance date, the hold amount and the cancellation policy on the booking page, and again in the confirmation email. Disputes almost always trace back to a customer who “didn’t know”.

Automate the awkward parts

The follow-up for a failed balance payment, the reminder before a hold expires, the receipt after release — these are exactly the jobs that get forgotten when you are busy. Let the system run them on a schedule and your deposits stop being a chore.
